Our client, a management company, located in Port-Louis is on the hunt for an Executive/Professional Assistant to perform a variety of administrative tasks and provide professional corporate assistance to the company’s CEO.
As the Executive Assistant, you will adeptly manage calendars, arrange travel and prepare expense reports, all while attending to adhoc clients’ needs on behalf of the CEO. In this role you will also be expected to have proven experience in company secretarial practice and familiarity with the corporate legal environment.
Ultimately, you will contribute to the efficiency of the business by providing personalised and timely support to the management.
MISSIONS :
- Act as the point of contact among executives, employees, clients and other external partners.
- Manage information flow in a timely and accurate manner.
- Manage the CEO’s calendar, set up meetings and keep accurate minutes thereof.
- Make travel and accommodation arrangements.
- Keep track of expenses and prepare weekly, monthly or quarterly reports.
- Oversee the performance of other clerical staff.
- In charge of office logistics including front office / reception, office supply inventory, coordinating with external service providers, organising corporate events, coordination of press / social media calendars, keeping abreast of technological improvements for the company’s software and hardware, etc.
- Engage with different stakeholders on behalf of the CEO.
- Format information for internal and external communication – memos, emails, presentations, reports and coordinate with external communications specialists thereon..
- Organize and maintain the office filing system in accordance with internal policies and processes, and ensuring staff are compliant with these at all times.
- Handle ad hoc clients’ needs.
Profile:
- 5 years’ experience as an Executive Assistant, Corporate Secretary or similar role.
- Job Qualification: ICSA (partly or fully qualified) is a definite advantage, or any other relevant qualifications in law and/or management.
- Excellent MS Office knowledge.
- Excellent verbal and written communication skills in English and French essential.
- Outstanding organizational and time management skills.
- A proactive approach to problem-solving with strong decision-making skills.
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines).
- Fast learner with a strong desire to acquire new knowledge.
